Cancellation & Refund Policy

This policy applies to facilitation and receipting handled by All India Digital Education Center (AIDEC) Headquarters and its authorized centres. Academic fees published by an affiliating university remain subject to that university’s own refund rules and applicable UGC norms. AIDEC does not award degrees and does not operate as a university finance office.

How fees are collected

AIDEC does not use automated payment gateways, UPI checkout, cards, or any online collection widget. All financial transactions — admission fees, university remittances collected through HQ, and any stated facilitation charges — are handled offline by institutional bank transfer to the official AIDEC or university account communicated in writing, or by cash / demand draft at Headquarters or an authorized centre against a proper receipt.

Learners and centres must not transfer money to personal accounts or to any number or QR code that does not appear on an HQ-issued fee instruction. Unofficial deposits cannot be traced and will not be treated as a valid receipt.

Application and registration fees

Application fees, registration fees, and counselling or file-opening charges collected by AIDEC are strictly non-refundable once the inquiry has been accepted into the Headquarters admission file, even if you later withdraw, change programme, or do not complete document submission. These amounts cover administrative processing and are not held in escrow.

When a refund may be considered

Headquarters may consider a written refund request only for amounts that (a) were actually received and reconciled against the official institutional account, (b) have not already been remitted onward to the affiliating university, and (c) remain under AIDEC’s control. Once a university has accepted a fee into its own ledger, any cancellation or refund must be pursued with that university under its published rules. AIDEC will, on written request, share the remittance acknowledgement we hold.

A request is more likely to be declined where:

  • the amount is an application or registration fee;
  • the academic session has commenced against the enrollment;
  • documents were submitted as complete and the university has registered the learner;
  • the deposit cannot be matched to a UTR, bank scroll, or HQ cash receipt; or
  • the request is made by a person who is not the learner or a parent / guardian authorized in writing.

How to apply — written requests only

Because collection is manual, refund requests must be submitted in writing. A telephone call, WhatsApp message, or verbal request at a centre is not sufficient to start the finance process.

Your letter or email should include:

  • full name as on the admission file;
  • inquiry number or AIDEC enrollment number;
  • programme, university, and academic session;
  • amount deposited, date, mode (NEFT / RTGS / IMPS / cash / DD), and UTR or receipt number;
  • reason for cancellation; and
  • the bank account to receive any approved refund — which must be the student’s original account used for the deposit, or an account in the student’s name supported by a cancelled cheque or passbook copy.

Send the request to refunds@aidec.in with a copy to support@aidec.in, or deliver a signed letter to AIDEC Headquarters, AIDEC Head Office, 3rd Floor, Education House, Arera Colony, Bhopal, Madhya Pradesh 462016. Authorized centres must forward learner requests to Headquarters; they cannot sanction refunds on their own.

How approved refunds are paid

If Headquarters approves a refund of an amount still under AIDEC control, the payment will be processed manually by NEFT or RTGS to the student’s original bank account. There is no instant reversal, wallet credit, or cash refund at the counter for banked amounts.

Approved refunds are ordinarily credited within 14–21 working days after the complete written request and supporting bank proof are received, and after finance has reconciled the original credit. Public holidays and university confirmation delays may extend this window. AIDEC will share the outward UTR when the transfer is initiated.

Cancellations before deposit

You may withdraw an inquiry at any time before money is deposited. No cancellation fee applies at the inquiry stage. After a deposit is reconciled, this policy and, where relevant, the university’s refund ordinance will apply.
